Frequently asked questions
What information will help you prepare an accurate first quote?+
Provide the event date, complete address or city, estimated guest count, event type, requested meal time, preferred menu or service style, dietary needs, rental or floral interests, and approximate budget. Your plans do not need to be final; reasonable estimates are enough to begin.
Can I request pricing while the guest list is still changing?+
Yes. Use your best current attendance estimate. The proposal can be revised as the count becomes clearer, although significant changes may affect food quantities, staffing, rentals, equipment, setup time, and the final price.
Which cities should I mention when asking about local service?+
Winslow's Catering Livermore considers events throughout Livermore and nearby Tri-Valley communities. Requests involving Pleasanton Catering, Dublin Catering, or San Ramon Catering should include the complete address so travel, delivery timing, staffing, parking, and access can be evaluated rather than assumed from the city name alone.
How soon will someone review my event inquiry?+
The team aims to respond promptly during published business hours, and many complete quote requests receive a same-day response. Timing may vary with inquiry volume and event complexity. Including the date, address, guest count, service type, and budget reduces unnecessary follow-up questions.
Does submitting the contact form place my date on hold?+
No. An inquiry, phone conversation, or preliminary proposal does not reserve the date. The booking becomes confirmed only after the required checkout or approved quote, signed catering agreement, and applicable deposit requirements have been completed.
What minimums should I understand before requesting a proposal?+
Most drop-off catering orders require a $400 food minimum. Boxed meals generally require at least 25 boxes per selected meal or menu. Most full-service and wedding packages begin at 25 guests, although requirements can vary by package, event date, season, and scope.
How far ahead should I contact you for different types of catering?+
All catering requires at least 72 hours of notice. Smaller drop-off and corporate orders are often planned five to 14 days ahead, while larger staffed events are best requested one to two months in advance. Weekends and peak months should be submitted earlier whenever possible.
How do drop-off, attendant-assisted, and full-service catering compare?+
Drop-off provides prepared food ready for your group to serve. Attendant-assisted catering adds staff for selected setup, monitoring, replenishment, or cleanup tasks. Full service provides a broader on-site team for professional presentation, guest service, and breakdown, making it well suited to weddings, formal dinners, and larger celebrations.
What steps officially book the event?+
Once you accept the proposal, we'll send the event agreement for your signature. A 50% deposit is needed for catering orders above $3,000.
Can I change the menu or guest count after signing?+
Yes. You have until 10 days before the event to make menu and attendance updates. Requests after that point may be limited.
May I start the quote process before choosing a venue?+
Yes. Provide the general city or area and state that the venue is still being selected. Pricing and availability may remain preliminary until the exact address is known because parking, travel, loading access, staging space, outdoor conditions, and venue timelines can affect the plan.
Which access details can change the labor or delivery plan?+
Tell us about loading zones, parking restrictions, stairs, elevators, security check-in, gated entrances, long walking distances, narrow doors, available staging space, power and water access, setup windows, and firm departure deadlines. These factors can affect staffing, timing, equipment, and pricing.
Can the team recommend quantities rather than having me guess?+
Yes. Include the guest count, meal time, event duration, service style, and dishes you are considering. Appropriate quantities depend on whether the food is a complete meal or light refreshment, how many selections are offered, and how long guests will have access to the food.
Can you shape a menu around a specific budget?+
Yes. Share a realistic food budget or total-event budget. The team can suggest menu and service formats that fit the target and explain how delivery, staffing, rentals, florals, beverages, and other additions affect the total.
What is the best way to report dietary needs in the inquiry?+
List the exact number of vegetarian, vegan, gluten-free, dairy-free, nut-free, or other special meals needed. For an allergy, identify the specific allergen and number of affected guests. This is more useful than a general statement that dietary accommodations are required.
Can the contact form be used for wedding planning?+
Yes. Include the wedding date, venue or city, estimated attendance, desired meal format, and the services you are considering. Helpful details include buffet, family-style, or plated dining, appetizers, bartenders, cake service, rentals, florals, coffee and tea, and the venue access window.
Do you support corporate catering and repeating office orders?+
Yes. Corporate services can include breakfast, lunch, appetizer receptions, boxed meals, holiday parties, and full-service dinners. Weekly or monthly boxed-meal schedules may qualify for a dedicated coordinator and locked pricing. Include the frequency, delivery time, attendance, and dietary needs in the request.
Can food, bar staff, rentals, and florals appear on one proposal?+
Yes. A custom event proposal may combine catering, bartenders, guest tables, chairs, linens, china, glassware, buffet equipment, centerpieces, floral installations, and tablescape styling. Alcohol itself must be supplied by the client or venue when bartenders are hired.
Who should be listed as the day-of contact?+
Choose a person who will be reachable when the delivery or service team arrives and who understands the access plan. For weddings or events where the host will be unavailable, use the planner, venue representative, office manager, or another responsible person who can answer logistical questions.
How should I communicate changes to an existing quote or confirmed order?+
Use the contact information associated with the proposal and include the estimate or order number whenever possible. Send updates involving the address, timing, guest count, dietary needs, menu, rentals, or access as soon as they are known rather than waiting until the event date.
